Determine when a call is of an urgent or important matter and requires interruption of meetings or telephone conversations. Become familiar with Ownership representatives, Cushman & Wakefield corporate personnel as well as tenant representatives and provide General assistance as required.
Handle all tenant service calls by generating a service request or Radio a Staff member as needed. The Receptionist must have the ability to instill confidence that the call is being handled professionally, expeditiously and appropriately.
Process and prioritize incoming mail. Prepare and prioritize outgoing mail, including messenger and overnight services.
Generate and process all purchase orders and routes them to appropriate Staff member for approval. Maintain purchase order files at Front Desk.
Codes and routes all invoices for payment. Assists other Staff, as needed and required, during periods of peak workloads.
Assist Retail Manager with typing of promotional plans, memos, and distributions of such. Perform special projects as necessary, including typing and filing.
Maintain box of pre-addressed labels and Fedex labels in copy room. Monitor Office activity and personnel to keep the lobby, conference room and kitchen area clean.
Monitor Staff activity and location. Monitor kitchen supplies & place orders if necessary.
Data Entry of invoices into MRI. Assist with the preparation of the MOR and annual budget.
Prepare and distribute Building Notes daily. Assist with the tracking of vendors & tenants certificates of Insurance.
